Privacy and Information Management (PIM) Toolkit
 
The North Eastern Ontario Education Network has supported the PIM Taskforce since it's inception as a grassroots organization to support Ontario school boards and authorities to comply with federal and provincial information and privacy legislation.  The Taskforce established three workgroups comprised of volunteers from school boards and authorities across the province to create guidelines and best practices, a toolkit, with respect to privacy and information management.
 
Since the release of the PIM Toolkit in September 2008, the North Eastern Ontario Education Network is supporting our member boards and authorities in the implementation of the Toolkit through hosting a PIM Toolkit training session in March 2009.  The training session comprised of member boards and authorities being guided through exercises to  educate PIM Champions and their implementation teams on how to use the toolkit.

PIM Implementation Meeting - January 27, 2010 
 
The second meeting provided board PIM Toolkit Implementation teams the opportunity to hear from Sudbury Catholic DSB experience working through the Access Matrix from Suzanne Dubien.  Boards also provided each other with a summary of their implementation status.  Leslie Chouinor from Near North DSB shared a Privacy Best Practices presentation delivered to Secretaries.  The afternoon session allowed teams to work together reviewing results of their Privacy Awareness surveys and identify gaps.  Teams shared their results with each other and they are summarized here.
 

 

PIM Implementation Meeting - October 22, 2009

Feedback from the regional training session indicated that the boards and authorities should continue to collaborate on the implementation of the PIM Toolkit in 2009-10.  As a result, two implementation meetings have been planned during 2009-10. 

The first meeting occured October 22 in Sudbury where PIM Champions and their implementation teams identified:

  • The work completed with respect to PIM within their board since the March 2009 Toolkit Training session,
  • Toolkit items they wish to implement within board in the next few months, Click here to view the results.  and

Quick Tips for Protecting Privacy
 
  • Password Protected Memory Sticks  When transporting data between home and school for such tasks as completing report cards, it is recommended that password protected devices be used.

 

  • Removal of Data from Home Computers  Working on items such as report cards or other school related documents on home computers is common practice.  Once these tasks are completed, be sure to delete this data from your home computer.

 

  • Password Protected Cell Phones and PDAs  The use of cell phones and PDAs such as a BlackBerry, iPhone and Palm Treo are prevelant within schools.  These devices must be password protected.
